We urge the client to carefully read the T & C's before making a booking with AmarGMedia.
We want your experience with us to be professional, fun and hassle free from beginning to end.
Providing Affordable Photography and Video services for Sikh, Hindu, Pakistani and English Weddings in the Berkshire, Buckinghamshire, Surrey and London areas.
Please note - During the current Covid Crisis, a temporary T &C will be issued to the client with respect to Deposits, and will supersede the normal Deposits Conditions
Booking
Bookings are accepted on these terms and conditions only. No condition may be added, omitted or altered unless we have agreed it in writing with you. Any addition, omission or alteration that we may agree does not affect any other term or conditions. When the client pays the deposit to Amar G Media, it is our understanding that the client has read and accepted these terms and conditions before making the booking. However, Amar G Media will also send out a formal contract, reflecting the Terms and Conditions before deposit being made.
Payment Conditions
Once a booking has been accepted you must try to pay the deposit as soon as possible in the agreed conditions, in order to secure the dates and quote with Amar G Media.
Until Amar G Media has received the deposit, we are under no obligation to carry out any of the services, nor reserve the date/s.
• Deposit is 50% of total quote during the current year
• Remaining balance must be settled before the wedding date
If you cancel this booking: The deposit is non refundable. In addition to this, any cancellation must be notified to us in writing by email.
In the event of exceeding the times stated in paying the remaining balance, there will be an inevitable delay in your media being created. Only when full balance has been cleared, will you be able to receive the full and finalized media in the delivery time periods stated in the contract
The delivery time period would start once the balance has been cleared.
Damages
In the unlikely event that the assigned photographer/videographer(s) is unable to attend your event due to unforeseen circumstances, AmarGMedia will appoint another suitable & equally qualified photographer/videographer(s) to attend the event on their behalf to undertake the photography/videography to his/her best ability.
Although we will use every reasonable effort to record all significant parts of the Event (including any parts of the ceremony) the decision as to what and how the media is captured and comprised in the recording & final edit is in our absolute discretion.
The client shall receive, what is commonly referred to as a reasonable standard of media in accordance to the Wedding Industry & Entertainment Guidelines.
Whilst the photographer/videographer(s) shall endeavor to fulfill the clients’ requirements to record significant parts of the Event, AmarGMedia cannot be held responsible for non-availability of subjects or adverse conditions which may delay the progress of proceedings preventing the coverage of certain specified shots. This will include circumstances such as delays, logistics, weather or non-submission of requested itinerary.
Amar G Media cannot be held responsible if there are unusual circumstances that are beyond our control, such as snow, extreme weather, electrical interference, road closures, traffic delays, and anything which is not within our control. Every reasonable attempt will be made to ensure no lateness occurs.
Insurance For your Wedding
We are fully insured with public liability and indemnity. This means our insurance will protect ourselves against major accidents, theft and damage.
Venues will typically request this and we are more than happy to provide this information upon request
Ownership of the Master Digital Copy and Copyright
The Digital master remains our property. Copyright in the digital mastercopy is also the property of Amar G Media
This means that:
we reserve the right to dispose of the digital master copy after the client has received a copy of the photo / video(s).
It is the client responsibility to make copies of the media we send to them, as we will look to dispose of the media 6-12 months after the event takes place. After this period, it is the clients responsibility to contact us in writing, via email , to archive the data for an additional time period.
We do not accept liability in relation to any loss, deletion and/or damage to the master copy after the client has received a copy of the photo/ video(s).
We will not be responsible to re-issue the media, without charge, to the client after the 6-month period
We will request permission from you to publicly advertise your video, during consultation however, we reserve the right after you have received your copy of the video, to show the video or part of it to any prospective client who may wish to see a sample of our work or to use on social media platforms such as Website, Instagram, Facebook, You-tube etc.
Any Raw data we capture from the event cannot be given to the client. Only under extreme circumstances, can raw data be given out (i.e the client wishes to generate their own editing and waiving the editing service under AmarGMedia. Therefore, under a set of conditions arranged by AmarGMedia, this can be made possible. This would be discussed before any handover.
Extra Services for Wedding Photography and Video
If you ask us to provide any extra services after you have agreed and deposited for a Booking, these may be subject to additional payments which we will agree with you. Those extra services will, if accepted by us, be carried out on the basis of these terms and conditions
Consents
Please note that it is your responsibility to obtain the consent from the owners of the venue where the event is being held and all other persons involved in the event, such as any person conducting the ceremony, or musicians to record the event before it takes place and to pay any fees charged by them. If you fail to do so, this may mean that we are unable to record the ceremony or the event or release the video to you until that consent (which is required for copyright reasons) has been obtained.
It as also the clients responsibility to seek permission from the venue before the booking take place, with regards to the equipment we will bring on the event day. This is particularly in relation to the 9ft mini-jib & 16ft jib crane which can take up some space. This is to ensure that what the client has booked with us, can be performed on the day without obstructions
Due to Aviation restrictions, Aerial drone Photography/Videography will be restricted in certain areas and venues. A CAA Licensed Pilot may then be required, with the relevant insurance documents requested by the venue. These costs would be passed on to the client for hiring this type of CAA service.
Also, there may be technical issues with flight of aerial drone on the day, which would result in non-aerial capture. We endeavor to ensure this service is performed, to the best of our ability, but cannot be ultimately responsible for non-flight. Other factors which result in non-flight are things such as delays on day, available manpower & staff, locations and Environmental weather (rain/snow/wind).
There are however, certain circumstances where the venue may only need to give permission on their private property, thus allowing the Aerial drone to be flown without these costs applied. We would request the venue to write an email stating this, but it is the clients responsibility to ensure these permissions are sought. For further clarification, please contact AmarGMedia before booking.
Schedule of Events (Itinerary)
We will try to agree a schedule | itinerary of contents of the recording with you. Please note that the contents of that schedule may need adjustment on the day according to any unforeseen circumstances.
For events involving Temple or Reception venues, the photographer/videographer(s) movements are sometimes restricted by the priest or pundit, public and general venue regulations.
Photography and Videography can on occasion may be restricted or prohibited, as may the use of artificial lighting. AmarGMedia cannot accept responsibility for limited coverage in such circumstances.
Whilst we do our best to cover all significant events, please understand the venue working environments is non-controlled, un-like studio conditions, where we can control movement, lighting and captures.
We also request an itinerary for each event, which will detail the general schedule and timings/locations for the event day itself. If there are unplanned or surprise events within the itinerary which we are not aware of beforehand or not in the submitted itinerary, we will endeavor to ensure we capture this, however, cannot be ultimately responsible if this is missed, or partly captured.
When submitting an itinerary, it is important to ensure any specific or particular ceremonial event, surprise events or person/s you wish to have captured is detailed as accurately as possible and this information relayed to us. Our services is to capture your wedding events and wedding day as we see it unfold. The purpose of an itinerary is to follow the schedule of events through the day and apply photography and video when required based on the type of wedding, and our experience of these events.
Whilst we endeavor to use our equipment fully, we cannot be held responsible for non-usage, if event is logistically challenging, limited space or time constraints prevent set up.
Providing parking at the venue is client responsibility. If no allocated area is available for AmarGMedia team to park and set up, this would cause an inevitable delay which we cannot be responsible for.
Photography
All images sent to client will be edited to colour correction and light exposure, and of very reasonable high standard.
We edit the photography, to a high standard to ensure the images are use-able.
All images are edited in-house and to our own standard practice & procedure
We cannot accept requests to revise photography which deviate from our standard practice and procedure. This may be an example such as copying another photographers style of work or services.
Depending on the type of package taken out with AmarGMedia , the client will receive the photography via a download link, or USB. USB can be re-issued at a small cost
On occasions, we reserve the right to retouch select images for promotional use.
The photography is usually issued within 1-2 months of the last event
Videography
The wedding film presented to the client within 3-4 months, and will be deemed as a final version from the editor of AmarGMedia. We do not send out Draft Versions. This final version will be of a very reasonable and high standard.
If there is any technical errors detected such as camera shake, wrong sequence of events, miss-spelled text, we are obliged to rectify and correct for free under our wedding film services. Song selection will be requested soon after the event take place, if we don’t hear from you, we will choose what we think is appropriate. Typically we request 4-5 songs to incorporate into the film.
Any other type of change request such as changing background music, scene cuts, or personalized input from client which is not within our standard editing practice, would be subject to an editor charge (typically between £200 to £400), depending on the amount of work required, or where the cost of a personalized revision change would be agreed and paid before the revision work takes place
Once revision payment is made, the revised film would be issued within 1-2months
Any change requests must be sent to us by email, with exact time and description, and within 3-4 weeks of the film being issued to client.
We also do not guarantee every change can be made, but the client would be notified during this process, if this occurs. We also do not issue RAW Video data as we are hired to take that data and edit it accordingly to create a film. We ensure use all available and use-able footage. We create approx 1hr wedding film for small events (100guests approx), and 2hrs for much larger events(300+guests)
Upon delivering the final version of film, it is the clients responsibility to review the film in full, and return any comments to the editor/company, within 3-4 weeks. After this period of time, the data will be archived and any further work required may be subject to charges
The wedding media should be ready for collection or delivery within 2-4 months of the wedding date, depending upon workload and time of year. Any delay from client side in providing us any requested information | communication or any special requirements in editing, which is not within our standard practice of editing, is not taken into account.
The client is hiring us based on our services & portfolio, and not the portfolio & services of another Videography/Photography company
Destination Weddings
For Destination Wedding events, the client will be informed of any additional costs such as accommodation, travel expenses and luggage costs. This can only be done once the client provides the wedding event schedules for the Destination
Overtime Charges
Once AmarGMedia and Client agree to a service and contract is issued and booked, based on the number of hours to be covered, any hours thereafter that we are requested to stay, would be charged at our nominal overtime charge of £50 per person per hour. This payment would need to be settled on the day, or within 1 week of the event. This would be verbally agreed on the day
Postage & Delivery
Although we post your USB by recorded delivery, it is the clients responsibility to make sure you have received/collected your film within 3-4 months from the wedding day. We do not take any responsibility of your data after that time unless you have informed us in writing by e-mail.
Digital media delivery service - you will be advised the service will last 1 year from the delivery of your wedding film. Once the time period expires, we are no longer responsible for the wedding film on the server. You will also be able to download the Mp4 files via an online link as part of the service, where you will own the digital copy to use at your discretion.
Working Hours
Although we make every effort to be at the venue before the agreed time. In case of any delay due to no fault of our own, i.e. any major traffic accident on motorway, adverse weather condition etc, we would not be able to take responsibility as this is unforeseen circumstances, however, we will endeavor to make up the time for the event
Where AmarGMedia has to cancel the event, due to circumstances beyond their control the full amount of the deposit and any further payments received will be returned to the client
We also do not take responsibility of initial décor set up coverage, if the décor/catering/DJ have not completed their work before the guests enter the venue. It is important the client book a reliable and established company, reputable for their efficiency and time management. This ensures that we can get the captures before the events proceed. We require approx 30mins of a clear, fully set area before guests enter
Complaints
In the rare case where you are unhappy or wish to raise a complaint/concern, we will use all reasonable efforts to deal with any complaint promptly and if the issue is justified and we can remedy, we will do so.
All complaints should be raised by the client directly to AmarGMedia in writing within 7 days of the occurrence which gives rise to the complaint. AmarGMedia will consider the complaint and shall provide a response to the client within 7 days of receipt of the complaint.
Communication
It is vital you pass any relevant information to us, before the build up to the big day. We rely on the client to keep us informed on the schedule of events planned, in order for us to know what to expect and how to plan accordingly for photography and videography capture.
We also request the client provide us with exact times and locations for every part of the day events, as this will reduce any potential confusion and focus more on the work to be carried out
Co-operation work with other Media Suppliers
From time to time, we are hired to work aside another media company operating on behalf of the other partner/family side. As we have no problems with this, however, the client must be advised that there will not be a controlled environment for capture due to the other company also performing their work, within their operating procedure and environment. We do not accept any responsibility for a non-AGM team members in direct view of our captures, and potentially failing a capture of a critical moment. We cannot control their movements, and this should be acknowledged by both Bride/Groom families
